Before You Book
Essential Information
We ask all new clients to complete a new client registration form. This is to gather relevant clinical information about you to assess your suitability for treatments. This will be sent to you prior to your appointment.
We collect personal data, such as your name, address, contact numbers and email addresses. This information is used to keep you up to date with new services and developments, confirm your appointments and to provide you with important pre and post care information.
Please notify the clinic of any changes to your contact details including name changes, address, mobile number and email. This will help the clinic to get any necessary or important information to you.
New Clients
Prior to your appointment you will receive 2 forms via SMS that you must complete prior to your appointment. This includes a pre checklist form and an image and release form. This is to ensure the safety of your treatment and to prepare for your appointment. If this is not filled out, you will be required to fill it in when you arrive at the clinic before going ahead with your treatment. You will receive the pre checklist form before every appointment with ECO Aesthetic Solutions to ensure we keep up to date with any medical changes.
All new clients require a skin consultation. We need to see your skin in its natural state to recommend a custom treatment and home-care prescription (if required). We also need to analyse what could be causing your concerns. We will want to know anything and everything that goes on to your skin, so make a list of your product names and brands - bringing them in also helps (this way we can check ingredient labels and help provide the best advice).
Please be open minded. Skincare is often best left to professionals, so although you might be interested in a specific treatment we offer, if it is going to do more harm to your skin we will recommend a treatment that will work well with your current skin health.
There may also be some procedures we perform in clinic that require a 'skin prep' prior to having the treatment which we will discuss during your consultation. For example: for the best results from microneedling, skin prep in the form of essential nutrients and skincare are necessary 4 weeks prior to treatment to enable the replication of healthy skin cells.
Children
Whilst we all love children, in the interest of health and safety, children cannot accompany patients in the treatment rooms or be supervised by staff. Thank you for your understanding.
Appointments/Booking Fee
It is advisable to book your appointments in advance to secure a time that is best suited for you. Some appointments may require a deposit of $50 at the time of booking to secure your appointment. This deposit will be taken off your treatment on the day of your appointment.
Booking fees are non-refundable, non-transferable and will be forfeited if you cancel/reschedule within 24 hours of your appointment, fail to show up or reschedule more than once.
Cancellation Policy
Due to the nature of our business, we have a strict cancellation policy. To be fair to all clients, by buying products or treatments, you agree to comply with and be bound by our cancellation policy.
We ask that you give 24 hours notice to change your appointment. Cancellation within 24 hours of your appointment or a no-show can incur your loss of booking fee.
Please note: As a small business owner, you are securing my time which means not only do I lose out, another client also misses out on an appointment if you do not show or cancel your appointment last minute.
You will be sent a reminder by SMS 48 hours prior to your appointment. Please notify us as soon as possible if you need to change or cancel your appointment by calling 0414 663 345 or emailing info@ecoaestheticsolutions.com.au. Cancellations with under 24 hours' notice will be subject to a cancellation fee.
Please respect my time and policies by contacting me in advance if you wish to make any changes to your appointment time.
Prescription
By law we are required to obtain a prescription from a doctor to administer S4 medications. For this there is a small fee of $25 on top of your treatment. The prescription is valid for 12 months and is done during the consultation process via a video call and is not transferrable.
Refund/Discount Policy
Generally, refunds will not be provided for products or treatments purchased from us. We will provide refunds of products and treatments sold to you where we are required to do so by Australian Consumer Law, including:
- for any products or treatments purchased which we are unable to provide to you; and
- if you purchase a prepaid treatment and subsequently do not wish to provide us with the information that we require to provide that prepaid treatment to you.
- treatments and products are not transferrable to another individual. Proof of purchase must be provided. Refunds are not applicable for change of mind.
Discounts on medical treatments are not permitted by our governing body, AHPRA and Australian Consumer law. Discounts and/or refunds will not be offered for the following: touch-up treatments (such as additional anti-wrinkle at your 2 week review), an additional treatment that is required because your treatment goals have not been met yet, unachieved expectations, unsatisfactory results, treatment failure, or for complications and their associated management (such as specialist referrals) as these are inherent risks of the treatment.
